OVERVIEW

We are proud to partner with you in delivering premium, freshly roasted coffee to your customers. Our wholesale program is designed to provide transparency, flexibility, and exceptional support. ORDERING

  • Wholesale Portal: Order can be placed online using https://embercoffeeco.getbeans.com or by contacting your sales representative by email, phone or text. All orders placed outside of the wholesale portal (link above) will be confirmed by email before processing.
  • Minimum Order: We have no order minimums to ensure you get the product you need, at the schedule you need, to maximize freshness and flexibility for you as a business owner. Orders under $100 may be subject to a handling fee of $10.
  • Free Shipping: For any order over $200, we offer free delivery via local courier,  providing fast delivery in the Midwest within 1-2 business days of shipping (often next day). 
  • Urgent Deliveries: Need something last minute? We can usually coordinate an expedited delivery without any additional fees, though if a fee is charged it will never exceed $30 per order.

PAYMENT TERMS & METHODS

  • ACH Transfer: All our valued partners are offered Net 15 terms, based on the day the order ships from our roastery. Payments are auto-processed via ACH, using the information provided to us during account setup. Customers accepting Net 15 terms must keep valid ACH information on file. 
  • Credit Card: All credit card payments, whether made during order checkout or the result of a past due invoice will incur a 3% processing fee
  • Paper Checks: Accepted, but must be received before the due date (Net 15) as defined on the invoice emailed to the account holder–and a credit card or ACH information must be kept on record as a fallback payment method.

Invoices are sent via email at order fulfillment.

LATE PAYMENTS

  • Late Fees:  In addition to the credit card fee, late payments may incur a 1.5% late fee per month on the outstanding balance if payment is delayed beyond the grace period.
  • Past Due Charges: If payment has not been received within 18 days (Net 15 + 3 day grace period), a credit card on file will be charged for the full invoice amount, including a 3% processing fee applicable to credit card transactions, and any associated late fees.

BREWING GUIDELINES

To ensure the best possible flavor, we recommend brewing Ember Coffee on equipment that we provide and service, using filtered water and proper brewing practices. If you choose to brew coffee on a machine we do not service, we cannot guarantee the flavor profile will meet the high-quality standards we strive for. 

Additionally, if water is not filtered or if brewed coffee is left to sit on a hot plate, the flavor may be compromised. Our recommendation is to brew coffee into insulated pitchers to preserve heat and freshness, avoiding the use of glass carafes or hot plates. We prefer to provide you with equipment that is regularly serviced and includes filtration to maintain optimal brewing conditions and deliver top-quality coffee every time.

All other coffee preparations (cold brew, espresso, etc.) should be brewed using the correct coffee dosage and following the guidance, documentation, and training provided by Ember Coffee. This ensures that each preparation meets our quality standards and delivers the intended flavor profile.

COFFEE EXCLUSIVITY

By entering into this agreement, you commit to exclusively brewing and serving Ember Coffee products within your establishment. This means no other coffee brands or products shall be brewed or served on your premises.

Please indicate your agreement by selecting one of the following options:

  • uncheckedExclusive: You agree to exclusively serve Ember Coffee products.
  • uncheckedNon-Exclusive: You do not agree to exclusively serve Ember Coffee products.

Note: Choosing the “Non-Exclusive” option may affect the terms and benefits of our partnership.

PROMOTIONAL SIGNAGE

I agree to prominently display signage promoting Ember Coffee within the premises. Such signage shall be placed in a minimum of one (1) of the following designated areas: 

  • as a decal affixed to the primary entrance of the establishment;
  • a placard or similar display positioned above the coffee brewing apparatus; or
  • explicitly enumerated and prominently featured within the menu offerings. 

All requisite signage for this purpose, excluding the printing of new menus, can be furnished by Ember Coffee at the request of the wholesale partner.

PRICE CHANGES

Coffee is traded as a commodity on the C market, and prices can be volatile. These fluctuations may result in adjustments to our wholesale pricing. As a wholesale partner, it’s important to understand that while we strive to keep pricing steady through strategic purchasing and contracts, periodic adjustments may occur due to market conditions.

We are committed to transparency and will promptly notify you if there is an upcoming price increase exceeding 5%. This ensures you have ample time to plan and adjust accordingly.

Our goal is to support our partners in navigating these fluctuations while maintaining the high-quality standards that Ember Coffee is known for. 

NON-DISPARAGEMENT

I agree that neither I nor my business will engage in any actions, verbal or written, that are intended to harm the other party’s reputation or which would reasonably be expected to lead to unwanted or unfavorable publicity towards the other party. This non-disparagement obligation includes, but is not limited to, any form of public statement, social media post, review, or comment that may be seen as derogatory or defamatory.

Both parties acknowledge that this provision specifically applies to statements made directly by the business itself or its owner but does not hold the owner liable for independent statements made by employees unless directed by the owner.

In the event of any disputes or disagreements between the parties, both parties agree to handle such matters confidentially and through formal dispute resolution or legal proceedings, as outlined in the agreement, rather than through public commentary or criticism.

Any breach of this non-disparagement clause by either party may be addressed through claims for damages or injunctive relief in accordance with the legal and judicial provisions governing this agreement.
